Dear Neighbor,

We are honored and pleased to announce that Urban Homeworks will be the property manager for your home and tenancy.  As you are aware, an Administrator, Lighthouse Management Group, was appointed to Mahmood Khan’s rental portfolio.  The Administrator selected Urban Homeworks as Manager of the properties earlier this week.  

We are eager to welcome you to the Urban Homeworks community!  As an introduction to Urban Homeworks, we have been an active property manager, providing dignified, equitable housing in North Minneapolis since 2003.  Personally, I (Anna DeCrans) have been an employee of Urban Homeworks for more than 6 years, with the first 4 of those years as property manager of our rental portfolio.  I will be your main point of contact, and welcome any questions, thoughts, and concerns you may have

In this communication, it is our intent to relay some critical information that you will need as we build this relationship and head in to the New Year.  Please read carefully.

First of all, Mahmood Khan should not be contacting you or sending maintenance professionals to your home.  If Mahmood Khan does contact you or attempt to gain access to your home, please notify me immediately.

1.    Rent Payment (you will receive multiple notices from the city and others communicating the same message):
a.    Beginning January 1st, 2018, please remit rent payment to Urban Homeworks at 2015 Emerson Ave N, Minneapolis, MN 55411.
i.    January rent charge is what you have been paying Khan.  We will conduct a market rate rent analysis in January, and determine if any rent charges need to be adjusted for February 1st.  Rent charges will not increase.
b.    Stop by the office with a check or money order made out to Urban Homeworks during office hours.  We do not accept cash payments.
c.    Drop off a check or money order at 2015 Emerson Ave North drop box located on the South side of the building attached to the side door.
d.    Past Due Balances that were accumulated prior to Urban Homeworks management will be forgiven. 
2.    Late Fees:
a.    Late Fees will not be assessed in January 2018.  Late Fees will begin being assessed in February, congruent with leasing practices of no more than 8% of your monthly rent charge.
3.    Maintenance:
a.    To report a maintenance concern with your home or building, please call our maintenance line at:  612-598-6545 or email:  fixit@urbanhomeworks.org
b.    Emergency maintenance requests will be addressed immediately.  Routine maintenance will be prioritized and followed up upon accordingly with clear communication and expectations of the timeline and access needed.
c.    Please refrain from calling for items pertaining to code compliance or those that are open work orders with the City, as we have a separate plan for those, detailed under “Home Inspections”.  
4.    Electricity, Gas, & Water Efficiency:
a.    We are scheduling a professional to come to your home the first 2 weeks of January to assess the condition of your electricity, gas, and water.  Please work with us to coordinate access.  This will allow us to assess and repair the basic essentials of livability in a timely manner.
5.    Home Inspections:
a.    Within the month of January, we will conduct a thorough inspection of your home, detailing code violations, living and habitable violations, and general maintenance.
b.    Results of the inspections will be prioritized with code violations as the highest need to address, living and other habitable violations secondary, and general maintenance as lower priority.
c.    We will clearly communicate and coordinate inspection, results and action plans with you.
6.    Rent Rate Analysis:
a.    After the Home Inspection has been complete, we will initiate a market rate rental analysis.  The results of that will determine a fair market rent, and we will adjust monthly rental rates accordingly.  Rental rates will not increase.
7.    Keys:
a.    Please bring your house and/or building keys to the Urban Homeworks office during regular office hours.  We will make a copy (at our expense) to securely retain for maintenance purposes.  We will only access your home when you have been appropriately notified by us.
b.    We are also planning to change the locks on your home.  This is why providing a key to us is crucial, so we can do that with minimal intrusion and coordination.
8.    Lease Agreements:
a.    We are operating under the current lease agreement, whether written or verbal, entered in to with Khan.  
b.    We are planning to have everyone on the same written lease by March 31, 2018.
9.    Open Office Hours:
a.    During the first couple weeks of transition, I will hold open office hours.  I sincerely hope you will be able to drop in during one of the times, so I can get to know you and address any questions you may have.  The times are:
i.    Wednesday, January 3rd, 2018:  1pm – 3pm
ii.    Friday, January 5th, 2018:  9:30am – 11:30am
iii.    Tuesday, January 9th, 2018:  10:00am – 12:00pm
iv.    Wednesday, January 10th, 2018:  11:00am – 1:00pm
v.    Friday, January 12th, 2018:  11:00am – 1:00pm
b.    Please feel free to call or e-mail at any time.  If I am unavailable, I will follow-up within 2-business days.  My contact information is below the signature line.  Please note my office hours conclude at 3:00pm daily.
10.    Neighborhood & Resident Meetings
a.    We will coordinate with and attend meetings organized by Roberto de la Riva
b.    We will be in attendance at the Resident Resource meeting scheduled for January 20th, 2018.
